Overview

GoFleetEz is an enterprise fleet management platform designed to help organizations manage trucks, trailers, and other fleet assets efficiently. The mobile application is used exclusively by authorized employees — Supervisors and Drivers — who are provisioned by their employer (the enterprise client).
Important: The GoFleetEz mobile application does not have a public sign-up or self-registration flow. All user accounts are created and managed by the enterprise organization through the GoFleetEz web platform. By using this application, you acknowledge that your access is granted by your employer and governed by your organization's policies in addition to this Privacy Policy.

Data We Collect

We collect only the data necessary to provide fleet management and inspection services. No personal data is collected during sign-up (as the app has no public registration).

Employee Name & RoleEmployer Provided
Your name and role (Driver or Supervisor) as provisioned by your employer.
Login CredentialsEncrypted
Username/employee ID and hashed password used to authenticate within the app.
Fleet & Operational Data
Fleet Claim RecordsOperational
Which truck or trailer was claimed, at what time, and by which driver.
Delivery RecordsOperational
Trip start and end timestamps associated with a fleet claim.
Inspection ReportsOperational
Structured inspection data (pass/fail items, notes) recorded during pre-trip and post-trip inspections.
Inspection PhotosCamera
Photos captured during fleet inspections (e.g., damage, condition of vehicle parts). Photos are linked to the specific inspection record.
Maintenance Data
Maintenance RecordsOperational
Details of maintenance tasks performed, including type, date, notes, and the fleet unit serviced.
Maintenance Bills / ReceiptsPhoto Upload
Photos or files of bills uploaded by drivers or supervisors as proof of maintenance expenditure.
Device & Technical Data
Device Information
Device OS type and version, app version — collected to ensure compatibility and troubleshoot issues.
App Usage Logs
In-app activity logs (e.g., login events, form submissions) for auditing and debugging purposes.

App Permissions Required

The GoFleetEz mobile app requests the following device permissions, strictly for the purposes described below. We do not request permissions beyond what is necessary.

CameraRequired to capture inspection photos (vehicle condition, damage) and photograph maintenance bills/receipts. Photos are not accessed outside of active use.

Photo Library / StorageRequired to save captured photos and allow uploading existing images (e.g., saved bill photos) to maintenance records.

Internet AccessRequired to sync inspection reports, maintenance records, and photos with the GoFleetEz servers in real time.
You can revoke permissions at any time via your device settings. Revoking required permissions may limit certain app features.

Data Sharing

We do not sell your personal data to third parties. Data collected through the GoFleetEz mobile app is shared only in the following circumstances:
Your Employer (Enterprise Client)
All operational data — fleet claims, inspections, maintenance records, and uploaded photos — is accessible to your employer's authorized administrators via the GoFleetEz web platform. This is the core purpose of the application.
GoFleetEz Infrastructure (Cloud)
Data is stored and processed on secure cloud infrastructure (e.g., Azure) operated by or on behalf of GoFleetEz. Appropriate data processing agreements are in place.
Legal Requirements
We may disclose data if required to comply with applicable law, legal process, or a valid government request.

Data Retention

Data is retained for as long as your employer's account with GoFleetEz remains active and as required for operational and legal purposes:
Inspection & Maintenance Records
Retained for the duration of the enterprise subscription plus a regulatory compliance window (typically 1–3 years), unless your organization specifies otherwise.
Photos (Inspection & Maintenance Bills)
Stored securely and linked to their respective records. Retained alongside their parent records and deleted when the parent record is purged.
User Account Data
Retained while your employer's account is active. Upon account deactivation or offboarding request, personal data is removed within 30 days.

Security

We implement industry-standard security measures to protect your data:

Because GoFleetEz is an enterprise B2B application and your account is managed by your employer, many data rights should be directed to your organization's GoFleetEz administrator. You may also contact us directly for the following:
AccessRequest a summary of personal data associated with your account.
CorrectionRequest correction of inaccurate personal data (e.g., name, employee ID).
DeletionRequest deletion of your personal data. Note: operational records (inspections, maintenance) may be retained by your employer per their data policies.
Data PortabilityRequest a copy of your personal data in a machine-readable format, where technically feasible.
We will respond to verified requests within 30 days.
